On behalf of a company operating in the automotive field, Managing Director Holding International (MD Holding) is recruiting: One (01) Executive Assistant.
Main activities:
Under the supervision of the Managing Director, your missions will be the following:
ENSURE THE ADMINISTRATIVE MANAGEMENT
Prepare and write all correspondence from the Managing Director;
Receive, inform and direct visitors;
Receive, record and sort incoming mail and forward essential files to the General Manager;
Receive and screen telephone calls for transmission to the General Manager;
Organize the agenda by making appointments;
Organize travel and trips for the General Manager by requesting visas, hotel reservations, airline tickets and car rentals;
Ordering equipment, supplies and consumables and checking the conformity of deliveries;
Manage the stock made available;
Follow up on the files of which he or she has knowledge;
Ensure the daily maintenance of the branch’s premises.
ORGANIZE MANAGEMENT MEETINGS
Prepare the room for meetings;
Convene the various participants by e-mail or telephone;
Provide the participants with the necessary material for the meeting;
If possible, participate in certain meetings;
Write and make available to participants the minutes.
ENSURE THE MANAGEMENT OF INCOMING MAIL
Receive and register all incoming mail;
Sorting and forwarding essential mail to the General Manager;
Archiving of mail;
Classify documents, information and holdings of an activity.
MANAGE THE INTERNAL COMMUNICATION OF THE GENERAL MANAGEMENT
Manage the interface with suppliers, customers and other institutions;
Manage the interface with the General Manager’s staff.
CONTRAINTS
Regular working hours, with the possibility of long hours depending on the obligations of the service;
Respect for the obligations of discretion and confidentiality;
Availability to the General Manager.
Profile required:
You have a BAC+2/5 of Executive Assistant or other Administrative fields, justifying 03 to 05 years of experiences in a similar position in a company, you have a good knowledge of communication in company, management, a good knowledge of the data-processing tool (Word, Excel, power point, etc.), if such is your profile, do not hesitate to join us as soon as possible.
